Quotes and messages

Requests holds everything a customer sends you that is not a paid order. You get an email for each one, and the customer gets one confirming you have it.

The three types

  • Delivery quote: a customer went through checkout, but their basket needs a delivery service with no set price to their area. Instead of paying, their whole basket and address come to you.
  • Quote request: a product set to Quote only shows a quote form instead of Add to basket. You get the product, option, quantity and postcode.
  • Message: from the Contact page or the Ask a question button. They choose what it is about, such as product advice or an existing order.

The pills and search

Open shows everything new or contacted, so it is the one to work from. There are also New, Quotes, Messages, Converted, Closed, All and Archived. The search box finds requests by name, postcode or product. Each request has its own short reference, such as R1004.

Answering a message

  1. Click the request to open it.
  2. Reply with Email under Notes and messages. It is sent in your branding, with a copy kept on the request. Or simply reply to the notification email you were sent.
  3. Under Progress, choose Contacted and press Save progress, so you know where you are up to.
  4. When it is done, set it to Closed.

You can also use Call or WhatsApp from the Contact details box, and leave yourself a Private note that only your team sees.

Tidying itself awayClosed and converted requests move to Archived automatically, 30 days after they came in. They are still there if you need them.
