Last updated 23 October 2026. What we collect when you get in touch or become a customer, why we need it, how long we keep it and the rights you have over it.
1. Who we are
PixelShop is a product of PixelBay Agency ("we", "us", "our"). For information we collect through this website, our sales process, agreements, billing and support, PixelBay Agency is the data controller.
Website: https://pixelshop.uk/
Email: hello@pixelshop.uk
2. What we collect
Depending on how you deal with us, we may collect:
- your name, business name and role;
- your email address and phone number;
- what you tell us in forms, emails and messages;
- details about your shop and what you need from it;
- billing and invoicing details;
- technical details needed to build, move, host or support your shop, such as domain, hosting and access details.
3. Website forms
When you send a quote request, demo request or support request, we collect what you enter so we can reply and, if you ask, prepare a quote or arrange a demo. Your details are passed to our own PixelBay admin system, where we manage enquiries, and you'll get an email confirming we've received it. We don't sell or rent enquiry details to anyone.
4. How we use your information
We use it to:
- reply to enquiries and arrange demos;
- prepare quotes and agreements;
- build, move, host, support and update your shop;
- manage your account, licence, invoices and payments;
- keep business and accounting records;
- keep our systems secure and prevent misuse;
- protect our software and services.
5. Your shop's customer data
Your shop holds information about your customers and their orders. You decide how that information is collected and used, and you're responsible for your shop's own privacy policy and data protection obligations.
Where we host your shop, we store and process that data on your behalf only to run, support and maintain your shop. We don't routinely look at it, but may need to when installing, supporting, updating or fixing your shop.
Card payments on your shop are handled by Stripe. Full card details never reach your shop or us.
6. Licence checks
Pay monthly shops check in with our licensing system to confirm the licence is active. This sends only a licence key, the shop's domain, the PixelShop version and the licence status. It does not send your products, orders or customer data. Outright builds don't check in at all.
7. Our lawful bases
We use the lawful basis that fits each purpose:
- Contract - to quote for, build, host and support your shop, manage your licence and take payment.
- Legal obligation - for accounting, tax and responding to lawful requests.
- Legitimate interests - to reply to enquiries, keep our systems secure, prevent misuse, protect our software and keep business records, where your rights don't outweigh those interests.
- Consent - where the law requires it. You can withdraw consent at any time.
8. Cookies
This website doesn't use advertising or tracking cookies, so there's no cookie banner. If you switch between light and dark mode, your choice is remembered in your browser's own storage on your device. It isn't sent to us.
If we ever add cookies that aren't strictly necessary, we'll ask first and update this policy.
9. Who we share with
We don't sell personal information. We only share it where needed to run our business or provide what you've asked for, for example with:
- our hosting and email providers;
- payment providers;
- accounting and professional advisers;
- authorities, where the law requires it.
10. How long we keep it
We keep enquiry details for as long as needed to deal with your enquiry and any follow-up, and customer records for as long as you're a customer and afterwards for as long as the law requires, for example for accounting. We then delete or anonymise them.
11. Keeping it secure
We use sensible technical and organisational measures to protect your information, including secure connections, email-code sign-in for admin areas and limited access. No system is perfectly secure, but we take it seriously and will tell you if something goes wrong that affects you.
12. Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, to have it moved to someone else, and to withdraw consent where we rely on it. Email hello@pixelshop.uk and we'll respond within a month.
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
13. Changes to this policy
We may update this policy from time to time. The current version will always be on this page.
